We are currently hiring a Mechanical Operations Coordinator to join our Louisville-based team, supporting end-to-end coordination of mechanical projects across our corporate downtown headquarters, 7 regional plant sites, 12 approved supplier manufacturing facilities, and our dedicated mechanical division field offices. This hybrid role is structured to give you flexibility to complete administrative planning, reporting, and stakeholder coordination remotely 2–3 days per week, but you will be required to travel to project sites, supplier facilities, and division offices 3–4 days per week, with occasional overnight travel for multi-site project launches or critical system outage responses. The ideal candidate has 3–5 years of experience in mechanical operations, construction project coordination, or HVAC field services, and is comfortable navigating both office and industrial work environments.

Your core responsibilities will include:
1. Coordinate end-to-end lifecycle for 8–12 concurrent commercial and industrial HVAC and mechanical system projects, tracking milestones, budget adherence, and on-time delivery to meet 95% of client SLA targets for project completion.
2. Conduct weekly site audits at plant and client locations to verify compliance with OSHA safety standards, local Kentucky building codes, and AirPro internal quality protocols, documenting findings and driving resolution of any gaps within 48 hours.
3. Serve as the primary point of contact between our mechanical division field technicians, corporate engineering teams, and third-party suppliers to resolve material delays, design clarifications, and on-site installation challenges, reducing project downtime by an average of 12% per quarter.
4. Maintain and update project records in SAP, Jira, and AutoCAD, ensuring all documentation (as-built drawings, inspection reports, client sign-offs) is accurate and accessible for future maintenance and audit purposes.
5. Support the procurement team by validating supplier bids, conducting on-site supplier facility audits to verify quality control processes, and negotiating delivery timelines for high-value mechanical components, reducing supply chain delays by 10% annually.
6. Prepare and deliver weekly progress reports to senior leadership, clients, and cross-functional stakeholders, summarizing project status, budget variances, risk factors, and mitigation plans for all active assignments.
7. Coordinate training and onboarding for new field technicians joining the mechanical division, developing role-specific training materials and scheduling shadowing shifts with senior team members to reduce new hire ramp-up time by 20%.
8. Manage the annual maintenance schedule for 15+ client facilities, scheduling routine inspections, filter replacements, and system performance testing to reduce unexpected mechanical failures by 18% year over year.

To qualify for this role, you must have a valid driver’s license and clean driving record for travel to site locations, be comfortable working in industrial environments with standard PPE requirements (hard hat, safety glasses, steel-toe boots provided by AirPro), and have strong proficiency in at least 3 of the following tools: SAP, Jira, AutoCAD, Microsoft Project, or Salesforce. You must also be familiar with OSHA 10/30 safety standards and Kentucky state mechanical and building codes. A bachelor’s degree in Mechanical Engineering, Construction Management, or a related technical field is preferred, but equivalent hands-on experience in mechanical operations will also be considered.

In addition to base pay, you will receive a quarterly performance bonus of up to 10% of your base salary, tied to project on-time delivery rates, client satisfaction scores, and safety audit compliance.
