Our client is a mid-sized firm specializing in commercial property transactions, leasing, land use zoning, real estate litigation, and investment financing for regional developers, national real estate investment trusts, and local business owners. The firm has seen 20% year-over-year growth in its real estate practice over the past three years, driven by Louisville's booming commercial development sector, including new riverfront projects and industrial warehouse expansions.

In this role, you will join a 16-person legal team dedicated exclusively to commercial real estate matters, working directly with 5 senior associates who specialize in different sub-sectors of the field. Your core mandate will be to support the end-to-end management of complex real estate dossiers, ensuring compliance with Kentucky state regulations and federal commercial property laws while delivering a seamless experience for the firm's clients.

Key measurable responsibilities for this position include:
1. Manage the full lifecycle of commercial real estate transaction dossiers from client intake to closing, coordinating due diligence, contract negotiation, and deed signing processes, with a target of meeting 95% of agreed closing deadlines.
2. Draft, review, and validate all legal documents tied to dossiers: commercial purchase agreements, lease contracts, property deeds, financing agreements, easement declarations, and title insurance documents, ensuring full compliance with Kentucky real estate statutes and federal commercial transaction regulations.
3. Conduct in-depth legal research on land use zoning, environmental compliance, property tax regulations, and land litigation precedents to support associate analysis and client negotiation strategies, using LexisNexis and Westlaw research platforms.
4. Coordinate communication between clients, attorneys, real estate agents, notaries, city planning departments, and other stakeholders to eliminate bottlenecks and reduce dossier processing time by 10% compared to the firm's current average.
5. Maintain up-to-date case tracking databases, property records, and legal document archives using the Clio document management system and internal collaboration tools, ensuring full traceability of all dossier steps for audit and compliance purposes.
6. Prepare supporting materials for land litigation hearings, negotiation meetings, and client presentations, including evidence compilation, factual chronologies, and tailored presentation decks for stakeholders.
7. Conduct regulatory compliance checks for client real estate projects, covering accessibility standards, hazardous waste regulations, and building permit requirements, to identify potential legal risks and propose corrective actions before they escalate into costly disputes.
8. Track all contractual deadlines and procedural timelines for active dossiers using Asana task management software, sending automated reminders to relevant stakeholders to avoid delays that could harm client interests or the firm's reputation.

Our office is located in a modern, accessible building in Louisville's central business district, with on-site parking and direct access to public transit lines. We prioritize a collaborative, low-bureaucracy work culture where paralegals are empowered to share process improvement ideas and contribute to firm strategy. We offer flexible working hours, the option to work remotely 2 days per week after the 3-month probation period, 15 days of paid annual leave, 10 paid sick days, and all federal public holidays. Quarterly training sessions on updates to Kentucky real estate law are mandatory and fully covered by the firm, alongside monthly team social events to build cross-team rapport.

To qualify for this role, you must have 3 to 5 years of experience as a commercial real estate paralegal, either at a law firm, a real estate developer's in-house legal team, or a commercial property investment fund. You must demonstrate mastery of Kentucky real estate law, federal commercial property regulations, and proficiency with legal research tools (LexisNexis, Westlaw), document management platforms (Clio), and collaboration tools (Microsoft 365, Asana, Microsoft Teams). You should have strong organizational skills, attention to detail, and excellent written and verbal communication abilities to interact with clients, government officials, and legal teams. The ability to work independently on complex dossiers and prioritize tasks based on client urgency is required.

This role offers a base salary of $55,000 to $65,000 per year, adjusted based on your experience and technical skills. In addition to base pay, you will receive a comprehensive benefits package: 80% coverage of health insurance premiums for you and your dependents, a 401(k) retirement plan with 4% employer matching, $2,000 per year in professional development stipends for real estate law courses or certifications, and annual performance bonuses of up to 5% of your base salary.
