This is not a generic administrative support position: you will be a core member of the firm’s transaction team, working directly with seasoned real estate attorneys and investment managers to support high-value commercial property deals including office, retail, industrial, and multifamily acquisitions, dispositions, and lease agreements across the Louisville metro area and broader Kentucky region. The role offers a clear, structured path for professional growth, with exposure to complex real estate transactions, mentorship from senior legal staff, and opportunities to take on increased responsibility over time.

Your core responsibilities will be focused on end-to-end transaction support, with measurable performance targets to ensure alignment with team and client goals:
1. Coordinate administrative and legal support for 8–12 concurrent commercial real estate transactions per quarter, ensuring all documentation is completed accurately and on schedule to meet average closing deadlines of 30–45 days per deal.
2. Draft, review, and revise core transaction documents including purchase and sale agreements, lease agreements, easement contracts, and closing statements, flagging inconsistencies, compliance gaps, or potential risks for attorney review prior to client submission.
3. Conduct comprehensive title reviews for commercial properties, identifying liens, encumbrances, and zoning restrictions, and coordinate with title companies and county recorder offices to resolve outstanding title issues within 5 business days of identification.
4. Maintain organized, audit-ready transaction files for all active and closed deals, both physically and in the firm’s cloud-based document management system, ensuring all records are retained in compliance with Kentucky state legal retention requirements for a minimum of 7 years.
5. Serve as the primary point of contact for clients, real estate agents, lenders, and inspectors during the transaction process, providing regular status updates, coordinating site visits and inspections, and addressing routine inquiries to reduce attorney administrative workload by an estimated 20%.
6. Conduct due diligence reviews for prospective property acquisitions, including reviewing property surveys, environmental reports, zoning compliance documents, and lease abstracts, and compiling summary reports for the transaction team to inform investment decisions.
7. Track key transaction milestones and deadlines using the firm’s project management tools, sending automated and manual reminders to relevant stakeholders to avoid delays that could result in financial penalties or failed closings.
8. Support the preparation and filing of required regulatory documentation for commercial real estate transactions, including Kentucky property transfer tax forms and local zoning variance applications, ensuring 100% compliance with state and municipal regulations.

The work environment is collaborative and low-turnover, with a focus on treating paralegals as integral members of the legal and transaction teams rather than administrative support staff. You will be paired with a dedicated mentor (senior paralegal or real estate attorney) for your first 6 months in the role, with regular check-ins to support your onboarding and professional development. After your 90-day probationary period, you will be eligible for 2 remote work days per week, with flexible scheduling options to accommodate personal commitments. To qualify for this role, you must have at least 2 years of experience supporting commercial real estate transactions in a paralegal or legal assistant capacity, with proven experience drafting and reviewing core real estate documents. Proficiency in Microsoft Office 365 is required, and experience with legal practice management software, electronic signature platforms, and Kentucky land records portals is preferred. Strong attention to detail is non-negotiable, as errors in transaction documentation can result in significant financial loss for clients. You must also have strong written and verbal communication skills, with the ability to explain complex legal and real estate concepts to non-legal stakeholders in clear, accessible language. Candidates with a Certified Paralegal (CP) designation, experience working with Kentucky real estate regulations, or familiarity with title insurance processes will be given priority consideration.

The compensation package for this role is competitive, with a base salary range of $55,000 to $65,000 per year, plus a performance-based bonus of up to 5% of base salary for meeting or exceeding transaction closing targets and client satisfaction metrics. The firm also supports internal mobility, with opportunities to transition into real estate transaction management, legal operations, or client relationship roles after 3–5 years in the paralegal role, with tailored training and support for career transitions.
