We currently have an exclusive opening for a Commercial Real Estate Paralegal with one of our top clients, a fast-growing commercial real estate investment and management firm based in downtown Louisville, serving clients across the Midwest and Southeast United States. This full-time, hybrid role offers a competitive salary range of $55,000 to $65,000 per year, adjusted based on years of relevant experience and demonstrated expertise in Kentucky commercial real estate law. The successful candidate will join a tight-knit legal team of 8 professionals, supporting the firm’s transaction, leasing, and litigation workflows for a portfolio of over 200 commercial properties including office buildings, retail centers, industrial warehouses, and mixed-use developments.

Key responsibilities for this role include:
1. Managing end-to-end administrative and legal workflows for 15 to 20 commercial real estate transactions per month (purchases, sales, lease agreements, and property transfers), ensuring 100% compliance with Kentucky state real estate regulations and federal transaction requirements, with a target error rate of less than 1% on all submitted legal documents.
2. Conducting thorough title searches and property due diligence for all pending transactions, using the Jefferson County Property Search portal, Kentucky Secretary of State business databases, and LexisNexis research tools, to identify liens, easements, or zoning restrictions that could impact deal closure.
3. Drafting, reviewing, and revising standard commercial lease agreements, purchase and sale contracts, confidentiality agreements, and closing documents in collaboration with senior attorneys, maintaining a pipeline of 10 to 12 active dossiers at all times.
4. Coordinating communication between internal stakeholders (attorneys, property managers, investment analysts) and external parties (clients, real estate brokers, title companies, county clerks, and tax authorities), tracking all deadlines and contractual obligations to ensure on-time closing for 95% of transactions.
5. Maintaining and updating the firm’s internal legal case management system (Clio) with accurate, up-to-date records for all active and closed dossiers, reducing average information retrieval time for team members to less than 5 minutes per request.
6. Preparing evidence bundles, witness statements, and legal filings for 2 to 3 commercial real estate litigation cases per quarter, supporting attorneys during pre-trial hearings and court appearances as needed.
7. Conducting weekly monitoring of updates to Kentucky commercial real estate law, local zoning regulations, and federal real estate policies, distributing relevant alerts to the legal team to ensure all active dossiers align with current requirements.
8. Training new paralegal hires on firm workflows, document standards, and research tools twice per year, to maintain consistency and quality across the legal support team.

Our client’s office is located in a modern, accessible building in downtown Louisville, with on-site parking available for all employees. The team operates on a hybrid work model: after a 3-month onboarding period in office to learn firm processes, employees can work remotely 2 days per week, with flexible start and end times (core hours 10am to 3pm) to support work-life balance. To be considered for this role, candidates must meet the following criteria:
• Minimum of 2 years of full-time experience working as a paralegal focused on commercial real estate transactions in a U.S. law firm or real estate firm, with proven experience navigating Kentucky state real estate regulations.
• Associate’s degree in Paralegal Studies, Legal Studies, or a related field, or equivalent professional experience.
• In-depth knowledge of commercial lease law, property title requirements, zoning regulations, and real estate closing processes in the state of Kentucky.
• Excellent written and verbal communication skills, with the ability to draft legally sound, clear documents and communicate complex legal concepts to non-legal stakeholders.
• Strong organizational skills and attention to detail, with the ability to manage multiple high-priority dossiers simultaneously and meet strict deadlines.
• Proficiency in English (written and spoken); proficiency in Spanish is considered a strong plus, as the firm serves a growing number of Spanish-speaking commercial clients.

Required technical skills for this role include:
• Hands-on experience with legal case management platforms including Clio, MyCase, or PracticePanther.
• Proficiency with real estate research tools including Louisville Property Search, Kentucky Secretary of State Business Search, LexisNexis, and Westlaw.
• Advanced proficiency in the Microsoft Office Suite, including expert-level Excel skills for tracking transaction timelines and budget data.
• Experience with e-signature platforms including DocuSign and Adobe Sign.
• Basic proficiency in QuickBooks for tracking transaction-related expenses and client billing, is a plus.
