Phoenix Petroleum USA is the North American subsidiary of the long-standing Phoenix Petroleum Philippines group, a major player in the fuel distribution, lubricant supply and energy services sector with over 20 years of operational experience across 12 countries. Since launching its US expansion in 2021, the company has opened 12 service stations across Arizona and plans to add 8 new locations by the end of 2025 to serve the fast-growing southwestern US market. Our American headquarters in Phoenix employs 245 staff, with a target to grow headcount by 40% by 2026 to support this expansion. We are currently recruiting a Senior Logistics & Supply Chain Coordinator to join our North American Supply Chain team, reporting directly to the Head of Supply Chain for the Americas. This is a core operational role focused on ensuring the seamless flow of fuels, lubricants and related products from our partner storage terminals to our service stations and professional B2B clients (transport fleets, industrial sites, corporate customers) across Arizona and neighboring states. Your key responsibilities will include: coordinating daily fuel (gasoline, diesel, kerosene) and lubricant deliveries to 12 Phoenix Petroleum service stations and 37 contracted professional clients, with a target on-time delivery rate of 98% and product loss rate below 0.1%; managing relationships with 8 approved road and rail transport providers, negotiating annual service contracts, monitoring compliance with dangerous goods (HazMat) transport safety standards, and resolving delivery incidents within a maximum 2-hour window; monitoring real-time stock levels across our 3 partner storage terminals in Phoenix, Tucson and Flagstaff via TMS (Transport Management System) and Sightlog tank monitoring software, triggering replenishment orders to maintain a 7-day average consumption safety stock; handling all administrative and regulatory compliance for product flows: inputting delivery notes, reporting product movements to the US Environmental Protection Agency (EPA) and Arizona Department of Environmental Quality (ADEQ), and updating HazMat compliance records for each product batch; conducting monthly supply chain performance analysis: calculating total cost of ownership (TCO) for flows, identifying bottlenecks, and proposing optimization measures to reduce logistics costs by 3% annually without impacting customer service levels; coordinating preventive maintenance operations for storage and distribution equipment at our service stations, scheduling technical team interventions and verifying equipment compliance with federal and state standards; managing logistics crisis situations (truck breakdowns, delivery delays, storage incidents) by activating pre-established business continuity plans, and updating station managers and professional clients in real time, with a target resolution time for critical incidents of under 4 hours; training new logistics team members and station staff on flow management and regulatory compliance procedures, and contributing to the development of internal training materials. You will join a 12-person North American Supply Chain team in modern offices in central Phoenix, with free on-site parking and easy access to public transport. To be successful in this role, you will need: at least 3 years of professional experience in a logistics or supply chain coordinator role, preferably in the petroleum, energy or dangerous goods distribution sector; full professional fluency in English (written and spoken), with Spanish language skills a strong advantage for interacting with our Spanish-speaking providers and clients; a valid US driver's license with a clean driving record (required for occasional travel to storage sites and stations); knowledge of federal and state regulations governing dangerous goods transport and storage (EPA, ADEQ, DOT HazMat rules); advanced mastery of Microsoft Office 365 (particularly Excel for indicator tracking) and supply chain management software (TMS, WMS); ability to work in a team, manage multiple parallel projects, and resolve issues under pressure; rigor, strong organizational skills and a customer service orientation. You will work with industry-standard tools including MercuryGate or SAP TM TMS, Sightlog tank monitoring software, Microsoft Office 365 (Excel, Power BI for dashboard creation), Salesforce order management system and Jira for incident tracking. We offer a competitive annual salary between $58,000 and $72,000, adjusted based on your experience and skills, plus an annual performance bonus of up to 10% of your annual salary. Additional benefits include 80% coverage of health insurance premiums for you and your dependents, a 4% employer-matched retirement savings plan, 20 days of paid annual leave, 10 days of sick leave, and a monthly travel allowance of $300. All personal protective equipment (PPE) required for site visits is provided free of charge by the company. This role is a springboard for career growth: after 2 years of tenure, you can progress to roles such as Regional Supply Chain Manager, Logistics Operations Manager or Supply Chain Project Manager within the Phoenix Petroleum group, with opportunities for international mobility to our Southeast Asian or European subsidiaries. We also provide an individualized training plan with an annual budget of $2,000 per employee for certifying training (logistics, HazMat regulation, project management).
