Phoenix Petroleum USA, a leading independent energy distribution company operating across the southwestern United States, manages a network of 120+ service stations, 5 regional fuel depots, and tailored logistics solutions for more than 200 commercial fleet clients. Specializing in the distribution of gasoline, diesel, and renewable fuel blends, we prioritize operational reliability, full regulatory compliance, and customer satisfaction to serve both retail and B2B customers across Arizona, Nevada, and California.

We are currently recruiting a Fuel Operations & Logistics Coordinator to join our Phoenix-based regional operations team. In this role, you will be responsible for end-to-end coordination of fuel deliveries, inventory management across our local depots, compliance with federal and state energy regulations, and day-to-day support for our commercial fleet clients. The position is ideal for logistics professionals with experience in sensitive commodity distribution who are looking to contribute to a growing regional energy operator.

Your core responsibilities will include:
1. Supervise daily fuel deliveries for 12 metropolitan Phoenix service stations, verify delivery notes, volume accuracy, and resolve delivery incidents within a 2-hour maximum window to meet station service level agreements.
2. Manage fuel stock across 3 regional depots, conduct weekly cycle counts, analyze stock rotation rates, identify risks of stockouts or overstocking, and adjust orders with partner refineries to reduce storage costs by 5% annually.
3. Coordinate logistics for 28 commercial fleet clients (transport firms, public works companies), plan on-site deliveries, accommodate special requests (anti-gel fuel, custom additives), and maintain a minimum 95% client satisfaction rate for delivery services.
4. Ensure full compliance of operations with federal and state regulations (EPA, Arizona Department of Environmental Quality), maintain up-to-date delivery tracking, incident, and fuel quality control records, and prepare documentation for quarterly regulatory audits.
5. Collaborate with the maintenance team to schedule interventions on depot and station pump systems, verify safety procedures, and organize short training sessions for delivery teams on safe fuel handling practices, targeting a 10% annual reduction in safety incidents.
6. Analyze delivery and stock data in our Transport Management System (TMS) and SAP platform, produce weekly performance reports for leadership covering logistics performance, transport costs, and stock discrepancies.
7. Manage relationships with 4 contracted transport subcontractors, verify their performance metrics, negotiate regional delivery rates, and resolve conflicts related to delivery delays or cargo damage.
8. Support the deployment of a real-time tanker truck tracking system, test platform features, report bugs to technical teams, and train operational staff on tool usage by the end of the first quarter.

Our Phoenix operations team works in a collaborative, low-bureaucracy environment where cross-functional communication is prioritized. You will work closely with safety, sales, maintenance, and finance teams, with weekly check-ins to align on priorities and resolve bottlenecks quickly. To qualify for this role, you must have a minimum of 2 years of professional experience in logistics, supply chain management, or fuel distribution, with a bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field. You must be familiar with U.S. Environmental Protection Agency (EPA) regulations for fuel transportation and storage, and have working knowledge of SAP for inventory management and TMS platforms for delivery planning. A valid Class B driver’s license is required to conduct on-site vehicle inspections as needed. Strong advanced Excel skills (including pivot tables, VLOOKUP, and basic macro usage) are mandatory for daily stock and delivery reporting. Ideal candidates will have proven experience resolving operational issues under tight deadlines, strong stakeholder management skills to coordinate with transport subcontractors, station operators, and commercial clients, and rigorous attention to detail to ensure full regulatory compliance.

This permanent full-time role offers a competitive annual base salary between $55,000 and $68,000, adjusted based on your years of relevant experience and technical skills. You will also be eligible for an annual performance bonus of up to 10% of your base salary, tied to team operational targets (on-time delivery rate, inventory accuracy, and compliance audit results). Our benefits package includes 80% employer-paid comprehensive health insurance (medical, dental, and vision), 15 days of paid annual leave plus 10 paid company holidays per year, and a 401(k) retirement plan with 4% employer matching. After successful completion of your 3-month probation period, you will be eligible for 2 days of remote work per week, plus a company vehicle for on-site depot and station visits. We also cover 100% of costs for work-related professional development, including certifications in supply chain management or EPA compliance training.

After 2 years of strong performance in this role, you will be eligible for promotion to Regional Logistics Operations Manager, overseeing a larger territory and a small team of coordinators, or to Compliance & Safety Specialist, focusing on regulatory audits and safety training for our operations teams. We support internal mobility with dedicated mentorship from senior leaders, and cover travel costs for you to attend annual industry conferences such as the NACS Fuel & Food Show to build your professional network and stay up to date on sector trends.
