Phoenix Ortho Injury Spine & Extremity is a leading specialized orthopedic clinic serving the Phoenix metropolitan area since 2017, focused on non-surgical treatment for sports injuries, workplace musculoskeletal conditions, spine disorders, and post-operative rehabilitation. We partner with 12 local orthopedic surgeons, 8 physical therapy locations, and 4 urgent care centers across Maricopa County to deliver coordinated, patient-centered care, and hold a 4.7/5 patient satisfaction rating on Google Reviews, making us one of the highest-rated orthopedic practices in the valley. We are hiring a Medical Practice Manager to oversee daily operations across our 3 Phoenix clinic locations, drive operational efficiency, ensure regulatory compliance, and support our clinical and administrative teams to deliver exceptional patient care.
In this role, you will be responsible for end-to-end operational management of the practice, with measurable performance targets including reducing average patient wait times from 32 minutes to under 26 minutes within your first 6 months, cutting claim denial rates from 12% to under 7% within 12 months, and reducing staff turnover by 15% year-over-year. Your core responsibilities will include:
1. Overseeing daily operations across 3 clinic locations, implementing process improvements to streamline patient flow, reduce administrative bottlenecks, and maintain full compliance with HIPAA, OSHA, and Arizona State Medical Board regulations.
2. Managing a cross-functional team of 22 front-office staff, medical assistants, billing specialists, and operations coordinators, including conducting weekly check-ins, quarterly performance reviews, and leading monthly training sessions on patient communication, compliance, and safety protocols.
3. Leading revenue cycle management, working with insurance partners (Aetna, Blue Cross Blue Shield of Arizona, Cigna, UnitedHealthcare, Medicare/Medicaid) to resolve claim denials, ensure 95% of clean claims are reimbursed within 30 days, and reduce outstanding patient balances by 10% annually.
4. Coordinating with clinical leadership (lead orthopedic surgeons, physical therapy directors, nurse practitioners) to optimize Epic EHR workflows, reduce clinical documentation burden by 25%, and streamline patient referral processes between our clinic and partner providers.
5. Developing and managing the practice’s $2.8M annual operational budget, tracking KPIs including patient satisfaction scores, monthly visit volume, and cost per patient, and presenting monthly financial and operational reports to the practice ownership group.
6. Overseeing clinical and office supply inventory, implementing a just-in-time ordering system to reduce supply waste by 18% annually, and negotiating vendor contracts for medical equipment, PPE, and office technology to achieve 10% annual cost savings on vendor spend.
7. Leading patient experience initiatives, including implementing a digital check-in system, training staff on de-escalation and communication best practices, and resolving all escalated patient complaints within 24 hours to improve overall patient satisfaction scores from 4.2/5 to 4.6/5 within 1 year.
8. Conducting quarterly internal audits of patient records, billing practices, and safety protocols to identify and address compliance gaps, and serving as the primary point of contact for insurance audits and regulatory inspections.
9. Collaborating with the marketing team to develop community outreach programs, partner with local Phoenix sports teams, schools, and employers, and drive 20% growth in new patient volume within the first 18 months.
10. Identifying and implementing new operational technologies and process improvements to support the practice’s planned expansion to 2 additional Phoenix locations by 2026.

We are open to candidates with 3+ years of operational management experience in healthcare, legal, or professional services office environments, with a proven track record of leading teams of 10 or more staff and improving operational efficiency. While prior medical practice management experience is a strong plus, we will consider exceptional candidates with experience managing high-volume offices (law firms, consulting firms, dental practices) who demonstrate strong organizational, analytical, and conflict resolution skills. Required technical skills include proficiency in Epic EHR, practice management software (Kareo, AdvancedMD), billing platforms (Navicure, Change Healthcare), advanced Microsoft Excel, and project management tools (Asana, Trello). HIPAA compliance certification is required within 30 days of hire if not already held; familiarity with CPT/ICD-10 coding, Arizona medical regulations, and Press Ganey patient satisfaction tools is preferred.
We offer a competitive base salary of $78,000–$92,000 annually, adjusted for experience, plus a performance-based annual bonus of up to 10% of base salary for meeting or exceeding operational KPIs.
