Phoenix Ortho Injury Spine & Extremity is a leading specialty orthopedic clinic serving the greater Phoenix metropolitan area for 8 years, with a focus on evidence-based care for spinal conditions, sports-related extremity injuries, post-surgical rehabilitation, and chronic musculoskeletal pain. Our team of 12 board-certified orthopedic surgeons, 3 physician assistants, and 18 clinical support staff serve more than 12,000 patients annually across our main Phoenix clinic and affiliated physical therapy partners. To support our continued growth and improve operational efficiency for our patients and staff, we are hiring a full-time hybrid Medical Practice Manager to lead day-to-day operations at our flagship Phoenix clinic.
The Medical Practice Manager will serve as the lead operational leader for the clinic, reporting directly to the Clinic Director and working closely with the lead medical staff to optimize clinical workflows, revenue cycle performance, compliance, and patient experience. This role is ideal for an experienced operations manager with a track record of leading professional services teams, whether in healthcare, legal, or other client-facing office environments, who is looking to make an impact in a growing specialty care setting.
Key responsibilities for this role include:
1. Oversee daily front and back office operations for the 12-provider Phoenix clinic, managing a team of 18 staff including medical assistants, front desk coordinators, billing specialists, and clinical support staff, with a target of reducing average patient wait times by 15% over the first 6 months in the role.
2. Lead end-to-end revenue cycle management, including insurance verification, claim submission, denial resolution, and Accounts Receivable oversight, working to reduce claim denial rates by 10% annually and improve the clean claim rate to 95% within the first year.
3. Ensure full compliance with HIPAA, OSHA, CMS regulations, and Arizona state medical board requirements, conducting quarterly staff training and annual compliance audits with a target of zero critical findings for 2 consecutive years.
4. Coordinate clinical workflow between orthopedic surgeons, physician assistants, physical therapy partners, and diagnostic imaging centers to streamline patient care pathways, reducing post-appointment referral processing time by 20% within the first 12 months.
5. Manage clinic supply chain and inventory for medical equipment, surgical implants, and clinical consumables, negotiating vendor contracts to reduce supply costs by 8% annually while maintaining 99% stock availability for critical clinical items.
6. Develop and implement patient experience initiatives, including a formal patient feedback tracking system, to improve patient satisfaction scores from the current 4.2/5 to 4.6/5 on Press Ganey surveys within 18 months.
7. Oversee clinic budgeting, financial forecasting, and expense tracking, managing an annual operating budget of $2.8M with a target of 3% year-over-year cost efficiency improvement without compromising care quality.
8. Lead hiring, onboarding, performance management, and professional development for all non-clinical and support clinical staff, reducing voluntary staff turnover by 12% within the first year through improved engagement and career development programs.

We are open to candidates from a range of professional services backgrounds, including legal office management, accounting firm operations, or other high-volume client-facing office environments, provided you have a proven track record of leading teams and improving operational performance. Required qualifications include a minimum of 3 years of experience managing a team of 10 or more staff in a professional services setting, deep familiarity with revenue cycle management processes, and a working knowledge of HIPAA, OSHA, and healthcare regulatory requirements. Candidates with experience in medical practice management, orthopedic or surgical specialty care, or experience with Athenahealth and Epic EHR systems will be given priority, but are not required. A bachelor’s degree in Healthcare Administration, Business Administration, or a related field is preferred, but we will consider candidates with equivalent professional experience and demonstrated operational success. All candidates must be able to pass a pre-employment background check and drug screening per Arizona state requirements for healthcare leadership roles.
The successful candidate will be proficient in the following tools and platforms: Athenahealth for practice management and patient scheduling, Epic EHR for clinical documentation and patient record management, Navicure for medical billing and claims submission, Asana for cross-team project management and operational initiative tracking, Microsoft 365 for administrative tasks and reporting, and Slack for internal team communication. Experience with Tableau or similar data visualization tools for operational reporting is a plus.
This role offers a competitive base salary of $78,000 to $92,000 per year, adjusted for experience and qualifications, plus a performance-based annual bonus of up to 10% of base salary tied to key operational metrics including patient satisfaction scores, revenue cycle efficiency, and supply cost savings. We will reimburse all exam fees and study materials for industry-recognized certifications including the Certified Medical Practice Manager (CMP) and Certified Healthcare Manager (CHM) designations, and provide clear career pathing for employees interested in moving into regional leadership, clinical operations, or healthcare consulting roles.
