Phoenix Petroleum USA is the U.S. subsidiary of a leading regional energy group, established in Phoenix in 2018 and now serving more than 120 gas stations across the southwestern United States, plus a portfolio of professional clients including airport operators, long-haul transport fleets, and industrial manufacturers. We manage a fleet of 200+ tanker trucks delivering gasoline, diesel, aviation fuel, and industrial combustible products, and recorded 18% year-over-year growth in delivery volume in 2024, driven by expanding client partnerships and new sustainable fuel offerings. To support this growth, we are hiring an Operations & Logistics Coordinator based in Phoenix, AZ, to oversee end-to-end fuel delivery operations across our coverage area (Arizona, New Mexico, and southern Nevada).

In this role, you will serve as the central point of contact between our delivery teams, suppliers, clients, and regulatory authorities, ensuring all deliveries arrive on schedule, in full compliance with safety and environmental regulations, and at optimal cost for the business. Your core responsibilities will include:
1. Supervising and optimizing delivery routes for our 200+ tanker fleet using our Transport Management System (TMS) and GPS tracking tools, to maintain a minimum on-time delivery rate of 98% and reduce empty miles by 7% by the end of 2025.
2. Managing fuel stock levels across our 3 regional storage depots (Phoenix, Tucson, Albuquerque) via weekly cycle counts, coordinating replenishment with our crude suppliers and refinery partners to keep stockout rates below 1.5%.
3. Ensuring full regulatory compliance for all delivery operations with DOT (Department of Transportation), EPA (Environmental Protection Agency), and OSHA standards: you will maintain and update compliance documentation, train driving teams on safety procedures, and lead annual regulatory audits to keep non-compliance rates below 2%.
4. Managing relationships with our 85+ B2B clients (gas stations, transport fleets, airport operators), responding to delivery requests within 2 business hours, resolving delivery incidents (delays, product damage) in under 4 hours, and leading quarterly client check-ins to identify process improvement opportunities.
5. Analyzing weekly operational data (delivery rates, transport costs, vehicle fuel consumption, client satisfaction scores) using advanced Excel and Power BI to produce monthly executive reports, and proposing optimization measures to reduce annual logistics costs by 3%.
6. Coordinating preventive and corrective maintenance for the tanker fleet with our approved service providers, to maintain a minimum vehicle availability rate of 95% and meet 24-hour response times for critical breakdowns.
7. Managing tenders for outsourced transport services: evaluating provider bids against cost, regulatory compliance, and performance criteria, and negotiating annual contracts to secure 2-5% reductions in service rates.
8. Supporting cross-functional projects including the rollout of sustainable fuels (HVO, biofuels), expansion of delivery coverage to Colorado, and implementation of real-time delivery tracking for clients, coordinating internal teams and external vendors to meet project deadlines.

To qualify for this role, you will need 3 to 5 years of professional experience in a similar operations or logistics role within the energy, hazardous materials transport, or industrial supply chain sector. Mandatory requirements include in-depth knowledge of DOT, EPA, and OSHA regulations for hazardous goods transport, proficiency in Transport Management Systems (preferably MercuryGate or Descartes), warehouse management systems (SAP EWM or Oracle WMS), and advanced data analysis tools (Excel, Power BI). You must hold a valid U.S. driver’s license and be eligible to pass regulatory security clearances to access storage depots. Strong organizational, problem-solving, and communication skills are required, as well as the ability to manage multiple priorities simultaneously and respond quickly to operational incidents. A CSCP or CSCMP supply chain certification is a plus but not mandatory.

In addition to a competitive base salary of $68,000 to $82,000 per year, adjusted based on your experience and skills, you will receive an annual performance bonus of up to 10% of your base salary, tied to on-time delivery rates, client satisfaction scores, and cost reduction targets. Our benefits package includes 80% employer-covered health insurance for you and your dependents, 20 days of paid annual leave plus 10 days of sick leave, a 401(k) retirement plan with 4% employer matching, a $150 monthly transport allowance, and fully funded professional training. This role is a clear career pathway to senior leadership positions within our operations team: high-performing coordinators typically progress to Logistics Manager within 2 to 3 years, or Supply Chain Director within 5 to 7 years, depending on business needs.
